Parent involvement in supporting the club to thrive

Happy Friday Swimming Parents!
This is a serious Friday evening email to ask you to pause and think about how you might best be able to contribute to the success of the Northcote Swimming Club.
We are all busy people, and volunteering is tiring. But, as they say in the classics, “Many hands make light work.” NSC is not a service organisation, it’s a community run club. It only survives on the back of parent involvement.
As the Club grows, and we get more ambitious, we need more parental hands on deck to support our young swimmers.
The eleven roles described below form the backbone of the club’s operations outside of competition days.
Roles 1-5 are Committee roles and therefore need to be held by a single person, and that person needs to be available to attend monthly committee meetings. We have these covered at the moment.
Roles 6-11 are not regular Committee roles – so less structured time commitment. They can even be shared by more 2 or 3 people! So much flexibility. We need people to step into these roles.
Please think about what skills and knowledge you can bring to helping us build a thriving club.

1. President
Leads the club, chairs committee meetings, and oversees strategic direction. Maintains relationships with Clublinks, Darebin Council, Metro-North and Swimming Victoria.
2. Vice-President
Recruits and coordinates parent volunteers for events, and ensures swimmer welfare and operational compliance with child safety requirements.
3. Secretary
Handles all official communications, meeting agendas and minutes, policy documents, club registration, Child Safe and other compliance.
4. Treasurer
Manages the club’s finances: budgets, reimbursements, fundraising income, and grant reporting. Ensures financial transparency.
5. Registrar & Membership Coordinator
Manages swimmer registrations, renewals, and memberships via Swim Central. Acts as the first point of contact for new families.
6. Fundraising
Leads fundraising activities including grant applications, sponsorships, partnerships, and events. Reports to the Committee via the Treasurer.
7. Club Night & Social Events Coordinator
Organises Club Nights, including entries and logistics. Plans social events like award nights, BBQs, and end-of-season gatherings. Reports to the Committee via the Vice-President.
8. Uniform & Equipment Coordinator
Manages the ordering and distribution of uniforms, caps, and training equipment. Includes sourcing and supplier relationship management. Reports to the Committee via the Treasurer.
9. Hosted Meet Coordinator
Plans and delivers inter-club meets hosted by Northcote. Coordinates timelines, volunteers, logistics, and ensures Swimming Victoria compliance. Reports to the Committee via the Vice-President.
10. Technology & Systems Coordinator
Manages Meet Manager, Swim Central, and timing systems like TimeDrops. Ensures entries, results, and data flow smoothly for meets and Club Nights. Reports to the Committee via the President.
11. Website & Social Media Coordinator
Looks after our website, TeamApp and Social Media presence. Social media is produced in collaboration with our senior swimmers. Reports to the Committee via the Secretary.
